Planning is a very important thing in everyone's life in the modern world, whoever you are - a businessman, a manager, or a mother -housewife. Everyone has a set of tasks that should be done now, urgently or tomorrow. The brain can typically hold 5-7 task, and then it is distracted by routine or new tasks, and displace the information. Therefore, recording tasks is not just a good thing to free the brain from holding all the information, but a necessary thing to have all your tasks done.
Written tasks, structured in a plan, program the result and allow you to achieve more. When planning considers time and details of the problem, it can break the task into subtasks, to replace it with a higher priority or even remove as unnecessary.
Keeping a list helps maintain emotional balance because there is a visual representation of your work, and you can already say to yourself: "It’s great, I've done a lot" or "Today I’ve done little, I should concentrate or pass it on to someone who will do it faster and better."
To ensure fulfillment of tasks as efficiently as possible, you need to consider the human biorhythms. The highest activity a man reaches in a couple of hours after waking and 1-2 hours after lunch. This time is the best to plan most difficult cases.
The second method to effective planning is breaking down the tasks into blocks "Must", "Should", "May". In the category of "Must», you should include the most important things that you definitely must do to achieve the priority objectives and this works to both business and personal affairs. The category of "Should" consists of tasks that require efforts, but not so urgent and not so important. The category of "Can" are tasks that have the lowest priority.
The third method is the selection of blocks for work and leisure. Scientists have found that human performance is reduced in half an hour, but to restore it you need only 5 minutes, so if you have to endure such a cycle, then your effectiveness will not have limits. There is even a special Pomodoro technique, which helps to identify such cycles. But even if you cannot not allow yourself 5 minutes every half hour, the balance between rest and work must be observed. Do not think that a person working for 20 hours a day, not getting up from the chair, will be more effective than someone who spends less time, but who has the time to restore functionality.
Fourth method – a clean sheet. It suggests that you need to make a new plan for each day, as circumstances may change hourly, and drag unnecessary tasks to the next day does not make sense. It's like saying – there’s no yesterday and tomorrow, there is only today; today's priorities and challenges only exist.
Be sure to make yourself reminders. It does not matter how wonderful your plan is, but in order to remember what you need to do and when, you must, as a minimum, to look into this plan. But circumstances change, distracting you, someone gets your attention for more important things and you forget about your priorities. To avoid this, fix all tasks, fortunately now there is a great number of applications for task management, such as Taskmenizer, for example, that will remind you of what and when you need to do.
